Hospitality Shield venues keep their records as they work, so there is no folder to fetch. Name the period and the venue prints one dated pack from the screen.
One dated pack, over any period you name
Every entry timestamped and attributed
Nothing deleted, corrections shown

They ask for the last three months
✗Somebody leaves the kitchen to go and find the folder.
✓The venue opens the pack on screen and hands it straight over.
They ask who took a temperature
✗Nobody put a name beside it, so the answer is a guess.
✓Every entry carries the name of the person and the time they wrote it.
They find a day with nothing on it
✗Everyone tries to remember what happened that Sunday.
✓The day was marked missed when it happened, with whatever reason was given.
They query a figure that was corrected
✗A crossing out and an explanation from memory.
✓The first figure, the change, who made it and when.
They ask for a copy to take away
✗Photographs of the pages, or a promise to post it.
✓A PDF, sent before they leave.
They ask what was done about last time
✗Last visit's notes, if anyone can find them.
✓Every action raised last time and whether it was closed.
For the kitchen
The records are made as the work happens, on a phone, by the person doing it. Nothing is written up later from memory, so the folder that used to be assembled the night before an inspection is not assembled at all.
For the Food Safety Supervisor
They can see what the kitchen recorded today without standing over it, and what is missing shows up on the day rather than the night before an inspection. When a council officer asks who checked something, the answer is already on the entry.
For the environmental health officer
What they ask for is produced while they stand there, over whatever period they name. A visit stops being an exercise in finding paper and goes back to being an inspection of a kitchen.
